Job Description: |
We are seeking a proactive, highly organized, and detail-oriented Executive Assistant to support our CEO. The ideal candidate will efficiently manage the CEO’s schedule, communications, travel, and various administrative and personal tasks to ensure smooth and effective day-to-day operations.
Key Responsibilities
Scheduling & Organization
- Manage calendars, schedule appointments, and coordinate internal and external meetings.
- Organize travel plans including flights, accommodations, and itineraries.
- Provide timely reminders and updates for scheduled commitments.
Communication & Correspondence
- Handle professional and personal email, phone, and postal communications.
- Draft, review, and distribute memos, reports, and presentations.
- Respond to routine queries and ensure prompt follow-ups.
- Must be fluent in spoken and written English to effectively communicate with foreign offices, embassies and 3rd parties on behalf of the management.
- Handle correspondence, schedule appointments and coordinate logistical arrangements for executive tasks involving external parties.
Administrative Support
- Maintain accurate files, records, and databases.
- Process invoices, track expenses, and prepare expense reports.
- Liaise with vendors, suppliers, and external service providers.
Office Management
- Oversee daily staff attendance, maintain accurate monthly attendance records, and report irregularities to the management.
- Supervise cleaning staff and office support personnel (e.g., office boy) to ensure cleanliness and orderliness of the office premises.
- Act as the first point of contact for visitors, providing courteous reception and guidance as needed.
- Assist in day-to-day administrative tasks as required by the management to ensure smooth office operations.
Personal Errands & Household Coordination
- Run occasional personal errands (e.g., grocery shopping, deliveries).
- Coordinate household maintenance, staff schedules, and home services (if required).
Confidentiality & Professionalism
- Handle sensitive and confidential information with the utmost discretion.
- Demonstrate sound judgment and decision-making in all duties.
General Support
- Perform miscellaneous tasks and special projects as assigned by the CEO.
- Deliver exceptional customer service and support in all interactions.
Availability
- Flexibility in working hours is essential—some tasks may require attention during holidays or outside regular office hours.
Requirements
Education:
- Master’s degree preferred.
Experience:
- Minimum 2 years of experience as an Executive Assistant, Personal Assistant, or in a similar administrative role.
Skills:
- Strong written and verbal communication skills.
- Excellent time management and organizational abilities.
- Proficiency in Microsoft Office, Google Workspace, and productivity tools.
- Ability to work independently with minimal supervision.
- Problem-solving mindset and adaptability in a dynamic environment.
